WhatsApp Business API vs QR linking

One takes two minutes and uses the number you already have. The other is official, verified and built for volume. A clear comparison of when each one is the right call.

WhatsApp Business API vs QR linking
7 min readBy the Wab Agent team

There are two ways to connect a WhatsApp number to an AI agent, and the choice confuses a lot of business owners because the names make one sound serious and the other sound like a shortcut. In practice both are legitimate, and the right answer depends on your size, your sending pattern and how much your brand identity in the chat matters.

QR linking, in short

You scan a QR code from your phone and the platform connects to your existing WhatsApp account, the same mechanism WhatsApp Web uses. Your number, your chat history, your contacts.

What it suits: a business that already has a WhatsApp number customers message, wants automation running today, and is replying to inbound conversations rather than initiating outbound campaigns.

The trade-offs: the connection depends on your phone account staying active, there is no blue-tick style verified business identity, and it is not designed for high-volume outbound messaging.

Meta Cloud API, in short

An official WhatsApp Business Platform connection, arranged through Meta. Your number becomes a registered business sender, independent of a phone handset.

What it suits: larger operations, businesses that need an official verified sender identity, teams handling high conversation volumes, or anyone whose compliance requirements call for an official channel.

The trade-offs: there is an onboarding process with Meta involving business verification, Meta charges for conversations under its own pricing, and outbound messages outside a customer-initiated window must use pre-approved templates. On Wab Agent, Cloud API connection is available from the Pro plan.

A straight comparison

Time to go live

QR: minutes. Cloud API: days to weeks, depending on how quickly business verification clears.

Cost

QR: your plan only. Cloud API: your plan plus Meta's own conversation charges, which vary by country and conversation category.

Who it looks like to the customer

QR: your normal WhatsApp profile. Cloud API: a registered business profile, with the option of a verified display name.

Outbound messaging

QR: reply to people who messaged you. Cloud API: supports approved template messages for notifications such as order updates, within Meta's rules.

Risk profile

Both channels carry the same fundamental rule: message people who want to hear from you. Bulk unsolicited messaging gets numbers blocked on either route. The official API does not make spam acceptable, it just makes the enforcement more formal. We cover the boundaries in staying within WhatsApp policy.

Worth knowing: A common mistake is assuming the official API is a licence to message cold lists. It is not. Meta's policies on unsolicited messaging apply to both routes, and user blocks and reports damage your sender quality on the API just as fast.

How to choose

You are not locked in

The sensible path for most businesses is to start with QR linking, run it for a month or two, and see what actually happens to your inbox. If the volume and the business case justify the official connection, move then, with real data about your conversation patterns instead of guesses.

On Wab Agent you can connect an official Cloud API number alongside or instead of a QR-linked one from the Pro plan, so switching does not mean rebuilding your knowledge base or reply rules. Compare what each plan includes on the pricing page, or talk to us about which route fits your setup.
